Virtual Assistant – VA

Job description

We seek a highly organized and efficient Virtual Assistant/Admin to provide remote administrative support to our team. The Virtual Assistant/Admin will work remotely and handle various administrative tasks to ensure the smooth operation of our business. This role requires excellent communication skills, attention to detail, tech-savvy, and the ability to work independently.Responsibilities:

  • Provide virtual administrative support to the team, including managing emails, scheduling appointments, and maintaining calendars.
  • Coordinate and schedule meetings, conference calls, and travel arrangements as needed.
  • Prepare and edit documents, reports, and presentations using various software tools.
  • Conduct research and gather information on various topics to assist in decision-making and project planning.
  • Assist in managing and organizing electronic files, documents, and databases.
  • Handle incoming and outgoing phone calls and messages, redirecting calls and taking accurate messages when necessary.
  • Maintain confidentiality and handle sensitive information with discretion and professionalism.
  • Assist in coordinating and organizing company events, conferences, and meetings, including logistics, catering, and materials preparation.
  • Monitor and manage social media accounts and online presence, including content creation and scheduling posts.
  • Assist in basic bookkeeping tasks, such as tracking expenses, preparing invoices, and reconciling accounts.
  • Collaborate with team members and provide administrative support to ensure efficient workflow and productivity.
  • Stay updated on industry trends and new tools/technologies to enhance administrative efficiency.


  • Strong attention to detail.
  • Ability to prioritize tasks, work under pressure and meet deadlines
  • Strong report writing with the ability to explain and analyze complex information.
  • Competent in Microsoft Office i.e. MS Word, Excel, Access, PowerPoint and databases and AI tools
  • Strong work ethic. Ability to uphold work policies and regulations
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong written and verbal communication skills, with attention to detail.
  • Proficient in using productivity tools such as email clients, calendar applications, document editing software, and project management platforms as well as AI tools.
  • Ability to adapt quickly to changing priorities and handle multiple tasks simultaneously.
  • Strong problem-solving skills and ability to work independently.
  • Familiarity with social media platforms and basic marketing principles.
  • High level of integrity and ability to handle confidential information.
  • Reliable internet connection and a suitable home office setup.
  • Availability during regular business hours for coordination and communication with the team.

Preferred Qualifications:

  • Bachelor’s degree in business administration, communications, or a related field.
  • Experience working in a remote/virtual work environment.
  • Knowledge of online collaboration tools and project management software.
  • Familiarity with bookkeeping principles and tools.
